GENERAL INFORMATION:

Please review our policies before booking a trip or course with us. We strongly recommend purchasing trip insurance to help mitigate your financial risk in case unexpected life events prevent you from attending or completing your scheduled trip.

UPDATED POLICY EFFECTIVE JULY 23, 2024:

A $200 non-refundable deposit is due at the time of booking, and the balance is due on the day of your trip. Separate policies apply to multi-day programs like AMGA SPI Programs, Teen Rock Camp, Warrior's Way, and Yoga Retreats (see below).

Trip balances will be automatically charged to the card on file for your deposit payment. If you wish to use a different card please notify us in advance so we can update your payment information before collection of the balance. 

 

Need to reschedule? No problem. Click on the reschedule link in your payment confirmation email to select a new date, or send an email with your date change request and we are happy to assist you.

 

TRIP CANCELLATIONS

  • Your $200 trip deposit is non-refundable.  

  • You may transfer your deposit payment one time, to another date within the same calendar year, provided we have availability.

  • We cannot refund or reschedule your deposit due to illness, injury, weather, or other life events, as we have turned away other clients so we can hold your reservation and run your trip. Thank you for your understanding.

TEEN ROCK CAMP & COURSE CANCELLATIONS

Teen Rock Camp is a non-refundable $875 deposit to secure a spot. If you can find a replacement person to take your space, we would be happy to work with you.

Campers who leave before the end of the summer camp program, including those who are home-missing, or dismissed from an active program for discipline or behavior issues will not be refunded any portion of payment.

 

Deposits for all group enrollment programs like the AMGA SPI Programs, Warrior's Way Training, and Yoga Retreats are non-refundable and non-rescheduleable unless another person is willing to take the spot. This includes cancellations due to disrupted travel plans, injury, illness, or weather. We recommend purchasing trip insurance to protect your financial investment.​

*If we cancel your course due to low enrollment, you may opt to transfer your enrollment to another session or receive a refund of your deposit payment.

 

RAIN CANCELLATIONS

If you see rain in the forecast, we encourage you to stick to your original itinerary and allow your guide to make a "game day" decision. Our experienced staff is accustomed to working around the forecast and taking advantage of the areas that stay dry even in a downpour.

 

The weather at the New River Gorge changes regularly from day to day and hour to hour. It is not uncommon for the forecast to predict a 30% chance of rain or higher, meaning there is a possibility of rain in 30% of the forecasted area. On the flip side, this also means there is a 70% area without any predicted rainfall. Fortunately, New River Gorge sandstone dries very quickly and many protected areas stay dry even when it's raining.

 

If NRMG cancels your trip for rain or lightning while a trip is in progress, we will reschedule the trip for another day for no additional charge or you may request a 50% refund.

INSTRUCTOR CANCELLATIONS

Rarely, must we cancel a trip or course due to an instructor's illness or family emergency. In this event, we will notify clients as soon as possible, though the nature of illness and personal emergencies often occur with short notice.

If we can't find another staff member for your trip, we will refund you immediately or reschedule you for another date of your choosing.

TRANSPORTATION POLICY

We do not provide transportation to/from climbing locations from our meeting location. You will follow your instructor in your vehicle (or make personal arrangements to be dropped off) at the parking area for the climbing location. 

 

Average drive times range from 15 to 30 minutes on paved roads. Any passenger car can easily travel to the climbing areas in the New River Gorge area. You are free to depart from the climbing area at the end of your trip.

Transportation during Teen Rock Camp is provided through a third-party shuttle service that's licensed and insured to operate in the New River Gorge National Park.

PET POLICY

While we love pets we don’t allow dogs on climbing trips and courses for many reasons.

  • Our commercial liability insurance does not cover accidents, injuries, or property damage from our clients’ pets.

  • Many private climbers bring their pets climbing with them. These pets are often off-leash, and not controlled by their owners.

  • We do our best to minimize the risks our staff must manage. Pets add additional risks for them to manage.

We encourage clients to arrange for pet care. There are several quality local options for daycare in the area including the Rover App and Barks & Boops Boarding.

SPECTATOR POLICY

Typically we don't allow spectators to accompany climbing trips unless they are the parent or guardian of a minor. Our maximum guide-to-client ratio is 1 to 4 as permitted by the National Park Service. If the addition of spectators requires us to have an additional staff member present, a $200 fee can be charged if staffing is available.

 

If you wish to have spectators attend your booked climbing trip, please notify us in advance and we can determine if we can accommodate your request.

DRUG & ALCOHOL POLICY

We have a zero-tolerance policy for drugs and alcohol, this also includes but is not limited to age-restricted legal drugs such as nicotine, vape products, and marijuana. If we suspect you are under the influence of any of these substances it may be grounds for stopping the trip without refund.
